The primary function of the Administrative Services Manager A is to plan, organize, implement and coordinate all administrative services and support for the instructional areas of Extended Learning and Instructional Resources. Exercising independent judgment and decision-making authority, this position directly reports to the Dean of Extended Learning while collaborating closely with the Dean of Instructional Resources. While primarily supporting the Dean of Extended Learning and Dean of Instructional Resources, the Manager may perform occasional administrative support for the offices of Academic Affairs. This position is a classified full-time position, which is eligible for overtime. Salary Information: The salary range stated above reflects the starting step of Range 46 (Step A) and ending step (Step L) salary for this classified position. Based on salary placement of Step A, it will take 5.5 years to reach Step L on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future. ESSENTIAL TASKS: Reporting to the Dean of Extended Learning at Highline College this position will: Manage the day to day logistics for the White Center- Greenbridge YWCA location and serve as primary point of contact with decision-making authority; Coordinate quarterly program and class scheduling, organize quarterly New Student orientation, manage all contracts, invoicing and payments and assist Dean of Extended Learning with development and implementation of new procedures for all off-site programing; Serve as primary administrative support for the Federal Way campus staff; Coordinate contracts, invoicing and payments, prepare and review budget requests, prepare cost estimates for equipment and review all resource requests, coordinate with Facilities and IT departments to prepare space and/or equipment analysis and use needs, assist the Dean of Extended Learning with implementation and monitoring of the lease, Federal Way budget tracking and management, and with the administration of proper personal practices and procedures; Manage use of instructional spaces on campus; coordinate space and equipment utilization analysis, organize and coordinate RFQ process with vendors, purchasing and facilities, plan and implement remodel and general maintenance projects; Implement alternative scheduling policies, schedule and coordinate all campus wide committees connected with alternative scheduled programs and degrees, assist in formulating alternative class schedule policies and/or procedures, collaborate with department chairs and faculty coordinators to identify degrees on alternative schedule and work with them each quarter to ensure alternative classes are scheduled, manage promotion of alternative schedule programs and degrees; Manage all special projects as assigned; Provide logistical assistance for program area faculty and staff; Audit and provide program budget tracking and management; Coordinate all administrative support services and office management of the Extended Learning and Instructional Resources areas including but not limited to; coordinating outlook calendars and meetings (agendas and minutes), responding to inquires in person and via phone and/or email, managing office records, managing travel arrangements, monitoring office supply use and needs, preparing and developing processes and procedures for the department, preparing and maintaining administrative reports and records; Supervise student workers and/or 1000 hour employees as needed. Ability to: Work independently with a high degree of accuracy and efficiency; Communicate effectively (verbal and written); Work and interact effectively with colleagues, staff, students, administrators and others of various cultural, social-economic backgrounds and abilities; Manage educational programs; Work as a strong team player; Proficient use of Microsoft Office. QUALIFICATIONS: MINIMUM QUALIFICATIONS: Bachelor's degree; AND One year full-time administrative and/or supervisory experience; OR Additional administrative or supervisory experience may substitute, year-for-year, for educational requirements. PREFERRED QUALIFICATIONS: Experience coordinating and managing projects or programs; Experience working in a college or educational setting; Administrative experience supporting a director level or above.
