GENERAL SUMMARY:
Highline College is situated in a diverse community just 20 minutes south of Seattle where we serve a student population of over 70% students of color, representing over 35 nations and more than 100 languages. The Administrative Assistant provides a full range of support services to the Director of Community Engagement and Outreach Services team. The ideal candidate for this position should exhibit teamwork, initiative, friendliness, use of good judgment, discreet handling of confidential information and problem resolution skills. The individual selected for this position must be innovative, have the ability to work independently and have potential for professional growth to meet the changing demands of this position.
This position is a classified full-time position and is eligible for overtime. Schedule: Monday-Friday 8 a.m. to 5 p.m
Salary Information:
The above salary range reflects the starting step of Range 32 (Step A) and ending step (Step L) salary for this classified position. As a new classified employee, based on annual increments, it will take 5.5 years to reach Step L on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.
ESSENTIAL TASKS:
Reporting directly to the Outreach Services Director, this position will:
Office Support:
- Perform office functions which include answering telephones, receiving and referring visitors and responding to multiple inquiries, open and distribute mail
- Draft, edit and proofread correspondence, policies, procedures and marketing materials;
- Provide support to Outreach staff;
- Assist in monitoring the budget and tracking financial obligations;
- Develop and maintain electronic and manual filing systems;
- Assist in arranging travel and preparing travel authorization and reimbursement forms;
- Monitor and maintain Outreach supplies and promotional materials.
Professional Support:
- Organize and facilitate activities and communications for Outreach Services;
- Keep supervisor informed of significant and important items requiring his/her review or action;
- Work collaboratively with Outreach Services management/leadership team;
- Respond to students, faculty, staff and the public concerning Outreach activities;
- Interpret complex policies and procedures;
- Assist in the collection and compilation of data for reporting purposes;
- Draft materials for presentations;
- Research and analyze information for special reports;
- Represent Outreach Services on special committees and at special events which could require travel and varying work hours.
Computer Support:
- Develop and maintain web pages;
- Develop and maintain complex databases and spreads sheets.
Ability to:
- Communicate effectively (verbal and written);
- Prepare coherent and meaningful reports and work with others in developing programs and plans;
- Use Microsoft Office Suites and web applications;
- Work with diverse populations;
- Work as part of a fast-paced, diverse and dynamic team.
QUALIFICATIONS:
MINIMUM QUALIFICATIONS:
- Bachelor's degree in business administration, public administration or closely allied field; OR
- Office administrative work experience may be substituted for education on a year-for-year basis.
PREFERRED QUALIFICATIONS:
- Experience in higher education, preferably at a community college.
