Operations Manager - Gilliam Center for Entrepreneurship

The Gilliam Center for Entrepreneurship (GGCFE) at James Madison University is accepting applications for an Operations Manager. Reporting directly to the Executive Director, this individual will be instrumental in managing the daily operations of the center. The successful candidate will serve as the outward facing staff member for the GCFE and provide administrative support to its leadership team.

Duties and responsibilities:

Administration Duties to include:

  • Serves as initial point of contact for GCFE – including phone, email and walk-ins
  • Fields questions as needed and provides information about and direction to appropriate resources
  • Assists with managing calendars and appointments for GCFE executive and assistant directors
  • Completes the hiring and payroll paperwork for student and temporary employees
  • Ensures the completion of training and onboarding for GCFE employees
  • Writes meeting minutes of advisory council meetings
  • Assists in management of application process and maintenance of student program records
  • Oversees the office management of the Major ICCE Lab, including updating information on bulletin boards and ordering office supplies as needed

Fiscal Operations to include:

  • Maintains accurate financial records of the state budget, including reconciliation
  • Completes Foundation payment vouchers for reimbursement to state budget
  • Processes travel authorizations and arrangements for GCFE activities
  • Conducts Small Purchase Credit Card (SPCC) purchases and reconciliation
  • Coordinates with JMU Procurement and other relevant campus offices as needed to complete all necessary paperwork and expense processes to ensure compliance with all University and state-level protocol

Event Management to include:

  • Assists the GCFE leadership team in planning and coordinating GCFE events and activities
  • Schedules space reservations and submits parking requests for GCFE events
  • Orders catering and complete food and beverage certification forms
  • Conducts on-site management of set up and tear down logistics for GCFE events
  • Works with the executive director to plan and manage advisory council events

Marketing Support to include:

  • Presents creative marketing projects and potential entrepreneurial stories to the College of Business (COB) Office of Marketing and Communications
  • Collaborates with University Content Marketing and COB Office of Marketing and Communications to develop campus-wide marketing campaigns
  • Provides website updates to maintain up-to-date information on GCFE activities
  • Oversees the work of Social Media Student Assistant and Bluestone Communications PR team related to social media activities for the GCFE
  • Networks with the community as appropriate to build relationships for the GCFE

 

Required qualifications:

  • Proficiency in Microsoft Office products to include Teams and Office (Excel, Word, Access, and PowerPoint
  • Experience in fiscal data management and accounting processes and systems, including fiscal record-keeping methods, practices, and procedures
  • Proficiency in social media platforms
  • Ability to take initiative and work independently
  • Excellent oral and written communication skills
  • Strong interpersonal skills that demonstrate respect for others, support for department and organizational goals
  • The ability to prioritize and manage multiple project simultaneously (e.g., project management skills)
  • Ability to work collaboratively with a diverse group of stakeholders including entrepreneurs, students, and faculty from across the campus community
  • Ability to learn and follow JMU policies and procedures


Preferred qualifications:

  • Undergraduate (Associates or Bachelors) degree
  • Experience using eVA, PeopleSoft, Chrome River and SPCC
