Administrative Services Coordinator
The Tippie College of Business Executive MBA (EMBA) Program seeks a full-time (100%) Administrative Services Coordinator to support the daily operations of the EMBA programs in Iowa City and Des Moines. Four EMBA cohorts are in session at a time, with a total of up to 100 students across the two locations.
Responsibilities:
- This individual will work with faculty, staff, University departments, and outside vendors to provide proactive support for the daily operations, including select admissions and student services responsibilities.
- Operational duties include working with the Executive Director to plan and coordinate August residency week activities for four student cohorts in two locations, planning approximately six events each year, organizing weekly catering and food ordering when classes are in session, and managing departmental supply inventories.
Admissions/student services duties include:
- Admitting and registering students
- Activating courses in the UI MAUI system
- Developing weekly short surveys,
- Procuring books and course materials
- Coordinating materials for the May international seminar, and addressing or routing student inquiries.
- Occasional evening events are required – graduation, orientation week, and several recruiting events.
- Must be able to work up to 8 Saturdays per semester to support class days in exchange for a flex day the following week.
Required Qualifications
- Bachelor’s degree or equivalent combination of education and experience
- Typically 1-3 years’ experience in an administrative support role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Working knowledge of computerized tools; databases, internet searches
- Superior written and verbal communication skills. Able to communicate effectively Demonstrated experience in providing superior customer service
- Demonstrated exceptional attention to detail, planning, and follow-up skills.
- Ability to develop alternative solutions and solve problems.
- Demonstrated ability to interact positively with a diverse population.
Desired Qualifications
- Basic knowledge of University policies, procedures and academic systems
- Experience managing internal and external suppliers and partners
- Event planning and/or management experience
- Experience with Customer Relationship Management (CRM) systems, especially SalesForce
- Working knowledge of social media platforms
- Ability to perform simple website updates
